What will you do? 

This is a critical support role to our Energy Division Leadership team, that will also assist in general office management tasks.  This role is currently offering the pay rate of $21.00 - $26.00 an hour depending on past experience.

  • Primarily supports Division Leader with administrative duties; secondarily supports Division Leader direct reports
  • Make arrangements for meals during meetings as requested (delivery and local restaurant reservations)
  • Uses word processing to develop routine reports, including graphs and charts and presentation materials. Maintains database information.
  • Receive and process office overhead invoices in COINS (printer rental, Verizon phone bill, security system, office maintenance, office supplies, etc.)
  • Assist in onboarding new hires as requested (mobile phone orders, purchasing card requests, computer equipment requests, etc.)
  • Order/purchase office supplies to include coffee and snack service as needed or requested by occupants
  • Maintain security/access control system (order key fobs, work with vendor setting up new hires, etc.)
  • Initiate required maintenance requests for office
  • Monitor office cleaning crew performance
  • Assist with onsite and offsite meetings (reserving venue and guest rooms, arranging for food/beverage service/AV equipment)
  • Assist Division Leader with calendar (setting up meetings and coordinating with others), special events and travel arrangements; negotiates prices for meeting venues.
  • Retrieve mail from mailbox and process or distribute mail to addressees
  • Receive, distribute and send mail/packages as required
  • Arrange travel and lodging for visitors
  • General duties include word processing, data entry, ordering supplies, opening and sorting mail, copying, filing, faxing, and screening telephone calls and visitors (which may include filling in for the receptionist).


Things you may have done before 

  • Strong verbal and written communication skills
  • Strong customer service skills
  • Good knowledge of Microsoft Office—Excel, Word and PowerPoint other office equipment
  • Strong organizational skills
  • Strong multi-tasking and prioritization skills
  • Good negotiation skills
  • High School Diploma or G.E.D. required
  • Minimum 2 years’ experience in administrative support position
